Job Description

This is paraprofessional work in coordinating and preparing public records requests including written and audio/video. The work requires knowledge of techniques, methods, and procedures used in the preparation of public records requests, which are usually gained through on the job training. Contacts require skills in understanding and influencing people and are important in resolving work related problems or complaints. The work is semi-routine in that tasks are covered by procedures or precedents, but some latitude is permitted to consider the most appropriate method, technique, or procedure to follow. Work is performed in an office environment and includes operation of standard office equipment such as a copier, telephone, personal computer and computer software such as word processing, video editing software, and PDF editing software. Physical demands consist of sitting or standing at a workstation for extended periods of time, using and occasionally lifting and moving objects weighing less than 50lbs. The work is performed under general supervision where the work assignments are varied and, although subject to standard practice and procedures, the worker is permitted some latitude to set own priorities subject to supervisor’s approval.

Examples of Work

  • Interprets, applies and ensures compliance with federal, state and local laws and regulations and policies regarding public records. 
  • Reviews, redacts and edits video/audio for various units of the sheriff’s office. 
  • Downloads, edits and redacts requests for 911 audio and call history printouts. 
  • Redacts requested public records requests from media outlets. 
  • Enters, scans, and attaches records requests and associated documents in one central location for tracking and accountability. 
  • Processes State Capital Repository requests. 
  • Coordinates and prepares public record requests from attorneys, other law enforcement agencies, insurance companies, State Attorney’s Office, and inmate public records requests. 
  • Processes subpoena requests. 
  • Responds to inquiries and complaints from the general public and interprets and explains departmental policies and procedures to customers. 
  • Files and retrieves various types of documents. 
  • Operates standard office equipment such as a personal computer, copier, telephone, utilizing word processing, video editing and PDF editing software. 
  • Maintains confidentiality of records and other sensitive information. 
  • Demonstrates proficiency in the City of Jacksonville’s competencies. 
  • Performs related duties as required.

  • Knowledge of the Jacksonville Sheriff’s Office policies and procedures regarding public records. 
  • Knowledge of federal, state and local laws and regulations and policies regarding public records. 
  • Knowledge of standard office practices and procedures. 
  • Ability to interpret laws, rules and regulations. 
  • Ability to gather, analyze and interpret data. 
  • Ability to communicate effectively, both orally and in writing. 
  • Ability to operate a personal computer utilizing word processing, video editing and PDF editing software. 
  • Ability to review information and create reports. 
  • Ability to establish and maintain effective working relationships with employees and the public. 
  • Ability to lift moderate to heavy items. 
  • Ability to prioritize work assignments and multi-task.

Open Requirements/Supplemental Information

  • A two (2) year combination of education and/or experience in paraprofessional work, which consists of at least one (1) year of prior records experience
